Contract Administrator

Position Title: Contract Administrator 

Location: Remote (preferred areas: San Jose, PHOENIX, Oregon, Washington)

Schedule: 9 am to 6 pm Pacific Mountain Time

Duration: Full-Time

 

Company Background:

Our client seeks a self-driven and motivated Contracts Management professional to join the Global Sourcing and External Manufacturing Next Generation Procurement team. As a Contract Management professional, you will help develop a world-class CLM process and manage the contracts with a variety of new tools. In this role, you will engage with staff on all levels of the company to analyze and determine a comprehensive contract strategy. The role will also help in designing standardized language, naming and filing, and guidelines for contracts while also helping with some light contract reviews. This role will also collaborate with procurement, legal, and Supply Chain teams to ensure contracts are compliant with company policies and legal requirements.

 

Position Summary: 

What you will be doing:

  • Liaising with staff on all levels of the company to analyze and shape a comprehensive contract strategy.
  • Designing standardized language and guidelines for contracts.
  • Reviewing contracts for compliance with language guidelines.
  • Collaborating with internal procurement, legal, and human resources teams to ensure contracts’ compliance with company policies and legal requirements.
  • Ensure all contracts and amendments are up to date and accurate throughout their lifecycle.
  • Create Parent-Child hierarchy relationships to documents when applicable. 
  • Manage contract change notices, renewals, and terminations as necessary.
  • Implementing and/or becoming familiar with contract management software.
  • Collaborate with stakeholders and drive improvements in the contract process. 
  • Collaborate with the Analytics team to develop standard CLM reports and then distribute to stakeholders. 

To perform this job successfully, an individual must be capable of managing complex tasks independently while working with and supporting many stakeholders. Below are the types of skills and knowledge you will have to be great in this role:    

  • Ability to handle significant multi-tasking requirements simultaneously and to prioritize on key actions
  • Excellent interpersonal skills with the potential to form positive relationships with both internal and external senior business partners.
  • Ability to perform contract and data analysis and collaborate on deploying a new Contract Lifecycle Management tool.
  • Provide insights and recommendations based on analysis, research, industry trends, benchmarking, and best practices.
  • Excellent Excel and PowerPoint skills, including the ability to analyze complex data and provide useful, clear information and recommendations.
  • Analyze potential risks associated with specific contract terms and conditions and work with Procurement and legal to minimize risks.
  • Problem Solving/Analysis – Identify and resolve problems in a timely manner; gather and analyze information skillfully; develop alternative solutions; work well in group problem-solving situations; use reason even when dealing with emotional topics.
  • Great organizational skills/time management.
  • Strong critical thinking, great judgment, and decision-making skills.
  • Proficient with Microsoft Office applications – Word, Excel, Outlook, and PowerPoint.

 

You will have:

  • Minimum education of bachelor’s degree with an emphasis in legal or supply chain studies and 5 years of experience.  
  • 5+ years of contract administration or as a Paralegal.
  • Provides superior and proactive customer service to internal customers.
  • A thorough understanding of contract law, procurement regulations, and compliance requirements.
  • Strong analytical and problem-solving skills, with the ability to identify and mitigate risks associated with contracts.
  • A keen eye for detail and the ability to manage multiple inputs simultaneously.
  • Proficiency in contract management software and other relevant technologies

 

Preferred:

  • Experience with Coupa CLM and Evisort preferred.
  • A paralegal background or degree in a legal administration field is preferred.
